Setting up your business on All In One For Profit, from scratch

One path, in order, for a brand new user. Every step says where to go, what done looks like, and why it matters. Most businesses finish the required steps in an afternoon; nothing has to be done in one sitting.

How to use this page. Work top to bottom and tick each box as you finish it. Your ticks are saved in this browser only: they survive a reload on this computer but will not follow you to another one. The For Profit line runs on the same platform, so the words you see in the apps are business words: Customers where a nonprofit sees Donor Management, Client Services where it sees Case Management, Subscriptions where it sees Membership, payment where it sees donation.

What is on this page

  1. A. Have these in hand
  2. B. Your email addresses (read this first)
  3. C. Choose a plan and sign in
  4. 1. Create your business (Identity)
  5. 2. Your people
  6. 3. Turn the money on
  7. 4. Your customers and clients
  8. 5. Reach your people
  9. 6. Your website, forms and documents
  10. 7. Optional, when you are ready
  11. 8. Your rhythm once set up
  12. If you get stuck

ABefore you start: have these in hand

You can do everything without them, but each one you have ready removes a trip back later.

The legal name as it appears on your filings and your bank account. It prints on every invoice and document the platform generates.

LLC, S corporation, sole proprietor and so on, and the state you are registered in.

Most small businesses run January to December. If you collect sales tax, know the rate and the state; Financial Management holds sales tax for the state.

A PNG or JPG letterhead under 600 KB, and the signature that goes on your letters and invoices. The platform can generate a letterhead from your business name if you have none.

Not a personal address unless it is absolutely unavoidable. A seat tied to someone's personal address leaves with them. Section B says how to set the addresses up.

Card payments run through your own Stripe account and record themselves in your books; if you do not have Stripe you create it during the connection step, and the bank details are what Stripe asks for. PayPal can sit beside it as a payment link, but PayPal payments do not reach your records and are keyed in by hand.

MailerLite, Mailchimp, Brevo, EmailOctopus or Flodesk. The Newsletters app works without one.

A CSV export from wherever your customers live today.

BYour email addresses: decide this before anyone signs in

Sign-in on the platform has no password. You type an email address, we send a one-click link to it, and whoever opens that link is signed in as that address. That makes the email address the account. Whoever controls the owner's email address controls your business on the platform.

Personal address or business address?

A personal address (gmail.com, yahoo.com, or an address at somebody's employer)An address at your own domain ([email protected])
When the person leavesThe address leaves with them. The seat, the notices and any sign-in links keep going to someone who is gone. You hand the address to the next person. The seat, the history and the notices stay with the role.
Who owns the recordThe individual. If they stop answering, nobody can get in without support. The business. An administrator can reset or reassign it.
How it reads to othersBoard notices, receipts and invitations arrive from a personal account. They arrive from the business, which is what funders, members and customers expect.
CostFree.A few dollars per user per month on Google Workspace (Google's entry edition is called Business Starter); the current price is at https://workspace.google.com/pricing and is not quoted here because it changes.
The rule we recommend: the owner seat and every seat that receives payment or customer notices uses an address at your own domain, not a personal one. If you start on a personal address, My Organization has a "Change primary admin" card to move the owner seat later; it emails a 6-digit code to the new address to confirm.

Option 1 (recommended): Google Workspace on your own domain

Google Workspace is Google's paid email and office suite for businesses; its entry edition, which Google calls Business Starter, gives every person in the business an address at your own domain ("Custom email for your business", 30 GB per user, "All plans billed monthly" with "Save 16% with 1 year commitment", as Google's pricing page states it on October 5, 2026). Sign up at https://workspace.google.com/ with a domain you own. If you do not own one, the Website and store app registers one .org in your business's name at no charge on either paid plan (https://www.allinoneforprofit.com/website-join-page/); it registers .org only, so a business that wants a .com buys it at any registrar and points it at the site from the same app. Email on a platform-registered .org needs mail records at the domain's DNS, so ask [email protected] and we will set them with you.

  1. Sign up and verify the domain.
  2. In the Google Admin console (https://admin.google.com/) create one user for each person who will sign in to the platform, and the role addresses below.

Users, aliases and groups: which to use for whom

If somebody wants their mail in the inbox they already read

Forwarding keeps the role address and lets the person read it where they already are. In the new Gmail account, following Gmail's own help page: open Gmail, click Settings, then "See all settings"; open the "Forwarding and POP/IMAP" tab; select "Add a forwarding address"; enter the destination address; click "Next", then "Proceed", then "OK"; open the verification link Gmail sends to the destination account; back in Settings, refresh, return to "Forwarding and POP/IMAP", select "Forward a copy of incoming mail to", choose "Keep Gmail's copy in the Inbox", and click "Save Changes". The steps are at https://support.google.com/mail/answer/10957. Two cautions: a forwarded sign-in link still works for whoever reads the destination inbox, so forward only to an inbox that person alone reads; and replies sent from the personal inbox go out from the personal address unless Gmail's "Send mail as" is set up for the role address.

Option 2: a plain Gmail account for the business

If a domain and Workspace are more than you want today, create one free Gmail account in the business's name (for example [email protected]) for each role that signs in, at https://accounts.google.com/signup, and keep the sign-in details in the business's records, not in one person's head. It is still better than a volunteer's personal address, because you can hand it over, but it has no administrator who can reset it if the password is lost, so turn on recovery options and record them. Move to your own domain when you can; the "Change primary admin" card makes that a ten-minute job.

"Sign in with Google" or "Email me a sign-in link"?

Both appear on https://app.allinoneforprofit.com/signin and both sign in the same address. "Sign in with Google" is one click if you are already signed in to that Google account in the browser, and it skips the trip to the inbox; it is the better choice for a Workspace or Gmail address. "Email me a sign-in link" works with any address at all, including one that is not Google; the link "works once and expires in 15 minutes". Either way, the address is what matters, so sign in with the role address, not a personal one.

Allow our mail. Sign-in links and notices come from [email protected], and support replies from [email protected]. Add both to the safe senders or contacts of every mailbox that will sign in, before the first sign-in, so the first link does not land in spam.

CChoose a plan and sign in

The pricing page: "One subscription for the whole business, paid by card, cancel any time from your own account. Choose monthly or yearly; yearly saves you about two months." There is no free plan and no Launch Plan on the For Profit line.

https://www.allinoneforprofit.com/forprofit/assessment/. "Tell us about your business once, in about fifteen minutes. We use it to recommend the right plan, build your account in your own shape, and skip the setup questions you have already answered. Your answers save as you go; come back with the link we email you." The recommendation shows its reasons.

1Create your business Identity

Where
My Organization: https://www.allinoneforprofit.com/team/. Under "Create an organization", type the "Organization name" (your business name) and press "Create team".
Done when
Your business has a name and you are its owner.
Why now
Everything else hangs off this record.
Open My Organization
Where
My Organization, then the "Profile & branding" card: https://www.allinoneforprofit.com/team/#profile-branding. "Organization name", "Legal name (if different)", "EIN", "Phone", "Website", "Address", "City", "State / Province", "ZIP / Postal code", "Country", "Fiscal year starts", "Mission statement" (one or two sentences on what you do), "Signer name" and "Signer title". Press "Save organization profile".
Done when
Legal name, EIN, state and address are saved.
Why now
Every invoice and document reads from here; a blank here is a blank on every one of them.
Open Profile & branding
Where
The same card, then "Letterhead image" and "Signatures". No letterhead yet? "Generate a letterhead from my organization name", then "Save organization profile".
Done when
The card shows your letterhead preview.
Why now
Set once, used by every app, on every invoice.
Where
My Organization, then the "Organization type" card: https://www.allinoneforprofit.com/team/#organization-type. "What kind of organization are you?" should read "Business (for profit)"; adjust any single term you want changed and press "Save organization type and language".
Done when
The type is Business (for profit).
Why now
It is what makes every app say customer, payment and client instead of donor, gift and member.

2Your people People

Where
My Organization, then the "Invite members" card: https://www.allinoneforprofit.com/team/#setup-invite. Each person gets a seat and only the apps you tick, at the address decided in section B.
Done when
Each person has a seat and the apps they need.
Why now
The people who help you run it cannot help until they can sign in.
Seat limits: AIOFP Essentials up to 3 admin seats, one consultant seat and two specialist seats; AIOFP Complete no cap. The pricing page on your bookkeeper: "A consultant seat gives your bookkeeper Financial Management and nothing else; Essentials includes one, Complete as many as you need."
Where
My Organization, then the "Who does what" card: https://www.allinoneforprofit.com/team/#orgRolesCard.
Done when
The person who handles money and the person who handles new customer applications are named.
Why now
Notices route by position; an empty position means a notice reaches nobody, or reaches the owner for everything.
Where
HR Management: https://www.allinoneforprofit.com/employment-hr/. Employees, contractors, payroll allocation; "Core Policies" writes your handbook policies on your letterhead.
Done when
Every person on payroll appears with a role.
Why now
Payroll allocation and the Form 1099 payee report both read from here.

3Turn the money on Money

Where
My Organization, then the payments card (it is the "Online donations" card on the nonprofit line; a business reads it with payment words): https://www.allinoneforprofit.com/team/. Press "Connect Stripe" and follow Stripe's own screens. Add a PayPal link beside it if you take PayPal.
Done when
The card shows "Connected" and your payment link.
Why now
Card payments arrive in your own Stripe account and record themselves in your books. The platform never holds your funds and charges no fee.
Why Stripe is the one to connect even if you prefer PayPal. Stripe is the connection the platform listens to: a card payment lands in Customers and in Financial Management by itself, and a Zap can post it into QuickBooks as it happens. PayPal payments do not reach your records and are keyed in by hand. Keep PayPal for the customers who insist; make Stripe the default. The how-to is at https://www.allinoneforprofit.com/help/accepting-payments/.
Where
Financial Management, then Settings for the fiscal year, then Budget: https://www.allinoneforprofit.com/finances/.
Done when
The fiscal year is set, at least one budget line exists, and sales tax is set if you collect it.
Why now
Automatic entries need a budget to be measured against; without budget lines every automatic entry shows as uncategorized.
Open Financial Management
Where
Invoicing: https://www.allinoneforprofit.com/invoicing/. Create a customer, add the line items, send; the payment link on it uses the Stripe connection above.
Done when
One invoice has gone out and its payment landed in your books by itself.
Why now
This is the loop the whole platform is built around for a service business.
Open Invoicing
Where
Subscriptions (the Membership app with business words), then "Levels & Dues": https://www.allinoneforprofit.com/membership/.
Done when
Levels and fees are set and the sign-up page is live.
Why now
Only for businesses with recurring plans; skip it otherwise.

4Your customers and clients Customers

Where
Customers (the Donor Management app with business words): https://www.allinoneforprofit.com/donor-management/. Import from your spreadsheet, or add one customer and record one payment.
Done when
Your real customer list is in and any sample records are cleared.
Why now
Every customer in one record: contact details, payment history, notes, segments, and exports for your accountant.
Open Customers
Where
Client Services: https://www.allinoneforprofit.com/case-management/. A file for each person you serve, with sessions, notes only the right people can read, and a service log.
Done when
Your first client file exists.
Why now
The pricing page's rule: it holds no protected health information and signs no business associate agreement. Keep clinical records in your clinical system; keep scheduling, notes you would share, sessions and payments here.
Where
My Apps, then any tile: https://app.allinoneforprofit.com/. Every app has a "Take the tour" button and a full User Guide.
Done when
An app has saved something for your business.
Why now
The apps are where the work lives; the setup is only the door.
Open My Apps

5Reach your people Communication

Where
My Organization, then the "Email" card: https://www.allinoneforprofit.com/team/#email-connection. MailerLite, Mailchimp, Brevo, EmailOctopus or Flodesk.
Done when
The card shows the connected tool.
Why now
Customers sync to your list, and promotions send from your own account.
Where
Two doors, pick one. Simple: the Newsletters app, https://www.allinoneforprofit.com/newsletters/, which keeps its own list and needs no outside tool. Through your own email tool: the "Email Campaign" page in Marketing (AIOFP Complete), https://www.allinoneforprofit.com/marketing/, which sends through the MailerLite, Mailchimp or Brevo account you connected in the step above.
Done when
The first newsletter has gone out and the people who should have it are on the list.
Why now
What a supporter sees before they give or join is set here, and a list nobody has written to goes cold.

The simple door, step by step (Newsletters app)

  1. Open the app and go to "Members". Use "Add a member" (name and email), or "Paste a list" ("Accepts one entry per line or comma-separated"), or "Import website newsletter signups" to pull in everyone who used the Newsletter block on your website.
  2. Go to "Compose". Under "AI writing help" type a few bullets into "What should this newsletter cover?" and press "Draft it for me"; the AI writes the newsletter from exactly what you give it, with [brackets] for anything it does not know. Or write it yourself under "Your newsletter": "Subject line" and "Message". The "Live preview" updates as you type.
  3. Check "Recipients" ("Sending to N members on your list") and press "Send newsletter".
  4. "History" keeps every newsletter you have sent.

Through your own email tool (Marketing (AIOFP Complete), "Email Campaign")

  1. Connect the tool first (the step above). The platform's own description: your email tool "owns the sending, the list, unsubscribe handling, deliverability, and CAN-SPAM compliance."
  2. Compose: subject, preview text, an optional header banner, and repeatable sections each with a heading, body and optional image, with a live Preview. Or "Bring your own HTML". "Draft with AI" turns a few topics into a drafted subject and sections.
  3. Choose the audience under "Send to", or "Build a group from your records" to sync your customers and clients into a list in your email tool in one click.
  4. "Create a draft, Send now, or Schedule". Drafts and scheduling are available with MailerLite; Mailchimp and Brevo send instantly.
MailerLite's Free and Growing Business plans do not allow sending content built outside MailerLite through the API; on those plans use "Download HTML" or "Copy HTML" and paste it into MailerLite to send. The Advanced plan sends directly. Verified 501(c)(3) organizations get 30 percent off MailerLite paid plans.

A cadence that works: one newsletter a month, same week every month, three short items and one ask. Marketing Management's content calendar holds the dates.

6Your website, your forms and your documents Presence

Where
Website and store: https://www.allinoneforprofit.com/website-join-page/. "A hosted website in your own name, a contact page, news, photo albums, a store with card checkout, and your own domain pointed at it."
Done when
The site is live at your own address and the store checkout works.
Why now
It is the address you print everywhere, and the domain is also what your email addresses in section B hang on. The app registers one .org at no charge on either paid plan; a .com is bought at any registrar and pointed here.
Open Website and store
Where
Forms: https://www.allinoneforprofit.com/forms/. An intake form or questionnaire with a public link; responses land in your records.
Done when
One form is live and a test response has arrived.
Why now
Forms replace the email chains that lose things.
Where
Document Library: https://www.allinoneforprofit.com/document-library/. Calendar: https://www.allinoneforprofit.com/calendar/.
Done when
You know where generated documents land and where appointments and deadlines appear.
Why now
Every invoice, policy and report the apps generate is filed on your letterhead in the Document Library; every date in every app shows on the Calendar.

7Optional, when you are ready

Where
My Organization, then the "API keys and webhooks" card: https://www.allinoneforprofit.com/team/#api-keys. "An API key lets your CRM or booking tool read and add records; webhooks tell it the moment something happens; Zapier connects the rest, including QuickBooks."
Done when
A key exists and the other tool can read a record.
Where
My Organization, "Member access" and "Invite members": https://www.allinoneforprofit.com/team/. Financial Management and nothing else. The accounting export imports into QuickBooks Online, Xero or Aplos.
Done when
The bookkeeper can sign in and sees only Financial Management.
Where
https://www.allinoneforprofit.com/executive-director/, and Waiting for you at https://app.allinoneforprofit.com/waiting: "one page that says what needs doing this week, across everything, before you open anything else."
Done when
You open it Monday before anything else.
Where
https://www.allinoneforprofit.com/retirement-plans/
Done when
One client page exists.
Why now
It never holds a balance, a rate of return or a full account number, on purpose.
Where
My Organization: "Export your data" and "Change primary admin". https://www.allinoneforprofit.com/team/
Done when
You have found both cards.
Why now
Your records are yours, and the admin move is how a personal address becomes a business address without losing anything.

8Your rhythm once you are set up

None of these is tracked by a tick box. They are the habits that keep the business out of trouble.
