If you sign in with your organization's own email domain (like [email protected], or [email protected]), your colleagues on that same domain join automatically. People on personal email (Gmail, Yahoo, Outlook, etc.) join through an invitation from the owner or an admin instead.

Checking your account…
Sign in
Enter your email and we'll send you a one-click sign-in link. No password needed, and it works with any email.
Check your email for your sign-in link. It works once and expires in 15 minutes.
Your organization profile, including your logo, letterhead, signature, mission and
document footer, appears on this page once you create or join an organization.
Everything below is shared by every app, so it is worth setting up once you are in.
Create an organization
You'll become the owner and can invite teammates on personal email.
Join an organization
Enter the 6-character code the organization owner gave you.
Click a heading to fold a section. Drag the handle beside it, or use the arrow keys, to reorder. Both are remembered on this device.
The highlighted step is the one we suggest doing next, but every step is open: nothing has to wait for the step above it. The full path, with where each step lives and what done looks like, is at Set up your organization; the Complete Guide explains every tool.
Saved.
Online donations connect through Stripe, gifts you collect on Givebutter or Zeffy flow in through the cards below, email connects through MailerLite, Mailchimp or Brevo, and an API key lets your CRM or another system read and add records. Using a different donation processor or email tool (for example PayPal or Constant Contact)? Let us know and we will help you set up an integration.
Connections
Stripe, PayPal, email, social accounts, QuickBooks, your bank, your web address, Zoom and the rest: whether each is connected, where to set it up, and what to have ready first.
Team, board, staff, committee: what is the difference?
Team is everyone here who can sign in and open apps. It is the widest group, and Team chat reaches all of them.
Board is the directors on your board roster in Board Management. Board records and the board channel stay limited to them.
Staff is the employees in your HR directory. Contractors are left out unless you include them.
Committee is the people you add to one specific committee below. Someone can sit on several, and a committee member does not need a login.
Consultant is somebody from outside who serves you, such as an accountant or a grant writer. They appear in Team because they can sign in, but they are not staff and not on your board. They see only what you allow in Member access, and they can never delete your records.
Specialist is a narrow outside expert brought in for one job, such as a bookkeeper, a grant writer, or a 990 preparer. A Specialist is the mirror image of a Consultant: they can edit the tools you name, and everything else is invisible to them.
A person can be in more than one of these at once. Adding someone to your board roster does not give them app access, and giving someone app access does not put them on the board.
Member
Role
Member access
Choose which tools each member can open, so donor data, finances, and board records are seen only by the right people. You (the owner) always have full access. Changes take effect the next time the member opens an app.
How do I let my accountant work on the finances and nothing else?
Two ways, and the one you pick decides what they can see, not just what they can change. Both take about a minute.
Consultant: an advisor who sees the whole picture
Invite them by email above, if they are not in your list yet.
Find their row in the table below and set Access to Consultant.
A panel opens headed "Let this consultant edit, on your behalf." Tick Financial Management and leave everything else clear.
Press Save in that panel.
They can now read everything your settings allow and change only Financial Management. Choose this when you want their judgment on the whole organization, which is usually what you want from an accountant who advises you.
Specialist: one job, and blinkers on
Invite them by email, the same way.
Set Access to Specialist. The role saves straight away and a panel opens headed "Choose the tools this specialist works in."
Tick Financial Management.
Press Save in that panel. Until you do, they hold the seat but can open nothing.
They can now read and change Financial Management, and every other tool is invisible to them, not merely locked. Choose this for a bookkeeper, a 990 preparer, or anyone hired for a single task.
True either way
Case Management can never be handed to a Consultant or a Specialist, by anyone, under any setting.
Neither can delete your records.
Every change they save is written to your activity log with their name on it, and you can read it whenever you like.
You can change or withdraw access in one click. It takes effect the next time they load a page.
Your plan includes one Consultant seat. AIONP Essentials includes up to two Specialist seats; AIONP Complete has no limit.
How do I give an intern access?
An intern reads the tools you choose and changes nothing. What an intern saves is sent for approval and waits until someone approves it.
Invite them by email above, if they are not in your list yet.
Set Access to Intern. A panel opens.
Tick the tools they need to see, pick the date the seat ends (120 days from today unless you choose another), and tick This intern is 18 or older.
Press Save intern seat.
In Donor Management, Contact Manager, Volunteer Management, Marketing, Grant Management and Forms, an intern's Save reads Submit for approval. The draft appears on Waiting for you at https://app.allinoneforprofit.com/waiting, with what would change beside what is there now.
You, an Admin, or anyone who can already make changes in that tool approves or returns it with a note. Approving applies the change as you, and both names go in your activity log. A draft with no decision expires after 30 days.
Money (gifts, pledges, Financial Management, payroll, dues), case records, HR records and Membership are never available to an intern, and an intern never sends email or texts from the platform.
Intern seats are unlimited on AIONP Essentials, AIONP Complete, AIOFP Essentials and AIOFP Complete and do not count against any other seat. The Launch Plan does not include them.
The seat closes itself the day after its end date, and you get an email a week before. To keep someone longer, set a new date here.
For a business: how do I let our financial advisor update our retirement plan records?
On All In One For Profit Complete, your advisor can work in Retirement Plan Tracking for you (added October 11, 2026).
Invite them by email above, if they are not in your list yet.
Set their Access to Consultant.
In the panel "Let this consultant edit, on your behalf", tick Retirement Plan Tracking. Tick Financial Management too if they should attach documents to your transactions.
Press Save in that panel.
They can now read your organization and add or update plans, accounts, beneficiaries, contributions, reviews and notes. They cannot delete a record, change your milestone rules, or read a confidential note someone else wrote. A nonprofit does not see this choice, because Retirement Plan Tracking is part of All In One For Profit.

Access
Who does what
Record who holds each position, so the platform can send a notice to the right person instead of everything landing on the owner. This is not the same as Member access above: access decides what somebody may open, this decides what somebody is responsible for. A position holder does not need a login, and one person can hold several positions.
Nobody has to be added anywhere first. The person list offers everyone this organization already knows: your board roster from Board Management, your Contact Manager, and the members with a sign-in. If the person you want is not on it, choose Someone else, type it in and fill in the name and email yourself. That is all a position needs, and holding one never requires a login. A role address works too: put [email protected] in the Treasurer position and every money notice reaches whoever holds that office, this year and next, without anybody signing in.
What happens when
Follow what the platform does the moment something arrives, and who hears about it. The blue steps are what the other person sees. The green step is the email that comes to you, and that is the one you can change. Everything else happens automatically and is shown so the picture is complete.
Committees & contacts
Define your committees once here, then any app can email a whole committee in one click (for example the gift handoff in Donor Management). A person can be on more than one committee, and members can be anyone with an email, they do not need an All In One Nonprofit login.
Invite members
Enter a teammate's email and we'll send them an invite with the link and join code built in, they just open it and sign in. (Colleagues on your organization's own email domain join automatically and don't need an invite.)
Invitations waiting to be accepted
Your join code. It is built into every invitation and works only for an address you have invited:

Email
Newsletters, campaigns and audience sync go through your own email account, so messages come from your name and your domain, and your subscribers and unsubscribes stay with you. Connect it once here and every app uses it.
Checking your connection...
The from address has to be on a domain you have verified with your email tool, or your messages will not send.

Manage your plan, your data, your subscription, and your account itself.
Take everything with you at any time. The complete export gives you one zip with your records as CSV spreadsheets (open in Excel or Google Sheets) plus the actual files from your Document Library, so you can keep running on your own.
One zip with a records folder (spreadsheets) and a documents folder (your Word and PDF files). Owner or admin only. Large libraries may take a moment.
Just the spreadsheets, built right in your browser. This does not include your documents.
Or download a single list as a spreadsheet (CSV):
A full machine-readable copy for developers or moving to another system. For everyday use, use the spreadsheet download above.
Change primary admin
Move the primary admin of this organization to a different email address, for example from a personal email to your organization's own address. Your billing does not change, and you stay on the organization as an admin. We email a 6-digit code to the new address to confirm.
Close this organization
As the owner, you can close this organization. Everyone loses access straight away, including you. Your records stay recoverable for 14 days, so if you close it by mistake you can put it back from this page. After 14 days everything is deleted for good: people, documents, donors and gifts, forms, events and every app's data. Financial transactions, signed documents, support tickets and the activity log are kept, because an audit or a later question can still need them. Export anything you want to keep before the 14 days are up.
Leave organization
You'll be removed from this organization. If your organization uses a custom email domain, you'll re-join automatically next time you sign in.
