Training
User Guide
Build training modules from a video or a written lesson with a completion check, assign them to your board, volunteers, or everyone, put them in order as courses with certificates, run cohorts and mastermind groups, and see who has finished.
1. About Training
Training is where the person who manages your organization's training builds it, assigns it, and keeps track of it. The app has four building blocks:
- Modules. A module is one lesson plus a completion check. The lesson is an embedded video link, an uploaded video file, or a lesson you write in the app. The check is either a one-click acknowledgment or a quiz with a passing score.
- Courses. A course puts your modules in order as lessons, decides when each lesson opens, and sets what a learner must do to finish. When a learner finishes, a certificate is issued on your organization's letterhead and filed to the Document Library.
- Groups. A group is a cohort (instructor-led, everyone finishes together) or a mastermind (peer-led, open agenda), with a roster, a session calendar with join links, attendance, and a discussion thread.
- People. One list of everyone assigned to training and what each person has completed or still owes.
Members never use this page. They take their training, follow their courses, and join their groups from their own member page at https://www.allinoneforprofit.com/member/. Training records are kept per organization.
↑ Back to topYour First Session
This walkthrough takes you from opening the app to having a required training module assigned to your board. It takes about 15 minutes.
Open Training at https://www.allinoneforprofit.com/training/. If you are not signed in, a Sign in first card appears; click Sign in, use your All In One Nonprofit account, and you come straight back.
Click Settings in the left-hand menu. In the Notifications card, type an address such as your training chair's email and click Save. This step is optional.
Click Modules. Scroll to the Standard training library card and click Add to my training next to Board Member Orientation. A message confirms it was added to your modules.
In the Your modules card, click Edit on Board Member Orientation. The form at the top of the page fills in and its heading changes to Edit training module. Under Lesson content, choose Embed a link and paste an unlisted YouTube or Vimeo link, or choose Write a lesson and type the orientation itself.
Leave Completion check on Acknowledge (one click). Set Assign to to Board members, Required to Required, and Renews to One time or Annually. Click Update module.
Click People in the left-hand menu, then Load training status. Each board member is listed with the module marked Required, outstanding until they complete it on their member page.
Open https://www.allinoneforprofit.com/training/?demo=1 to see the app filled with sample modules, a sample course and two sample groups. A red DEMO MODE bar runs across the top, nothing you do there is saved, and Exit demo takes you back out. For a click-by-click tour of the live app, use the Training walkthrough.
3. Building a Module
Click Modules in the left-hand menu. The first card, Create a training module, is the module form.
Title and description
Type a Title (for example, "Volunteer Safety Training"). The Description (optional) says what the training covers. A title is the only required field.
Lesson content: a link, a file, or a written lesson
Under Lesson content, pick one of three:
- Embed a link: paste a YouTube or Vimeo link. Use an unlisted video. This is the best choice for longer videos.
- Upload a file: choose a video file up to 100 MB. It is kept privately on All In One Nonprofit. The module saves first and the file uploads after, so wait for the Saved. message. If the file is over 100 MB, the module still saves but the video does not; embed a link instead or use a smaller file.
- Write a lesson: type the lesson in the box. Plain paragraphs work, and so does simple HTML: headings, bold, lists, links, tables and images. The lesson is shown inside the member portal, so there is no video to watch and nothing loads from another site. Anything that could run code is removed when you save.
There is no option to upload a PDF or other document as a lesson; Upload a file accepts video files only. If your material is a document, such as a policy or a code of conduct, paste its text into Write a lesson, or put a link to where the document lives inside a written lesson.
Completion check: acknowledge or quiz
Under Completion check, decide how someone proves they finished:
- Acknowledge (one click): the person confirms they completed the lesson. Good for policies, orientations and codes of conduct.
- Quiz (questions): a set of multiple-choice questions. Click + Add a question for each one, type the question, fill in the answer options, and select the round button next to the correct answer. Remove any question with Remove question. Set Passing score (number correct); if you leave it blank, a person must get every question right.
Prefer a head start? Type the title (and a description, if you have one), then click AI: draft questions from the title. See AI in Training below.
Assigning the module
- Assign to: Everyone, Board members, or Volunteers.
- Required: Optional or Required. Required modules are flagged on members' pages and on the People page.
- Renews: One time or Annually.
- Prerequisite for an event (optional): pick one of your events from the list. If set, people must complete this training before they can register for that event.
Click Save module. The message Saved. appears, the form clears, and the module is listed under Your modules. Clear form empties the form without saving.
↑ Back to top4. The Standard Training Library
The Standard training library card on the Modules page holds ready-made starter modules. Click Add to my training on one to copy it into your modules, then open it with Edit to attach your own video or written lesson and adjust the questions, audience and requirement.
| Starter | Check | Assigned to | Covers |
|---|---|---|---|
| Board Member Orientation | Acknowledge | Board members | The board's role, fiduciary duties, and how the board works with staff. |
| Conflict of Interest Basics | Quiz, 3 questions | Board members | What a conflict of interest is, the duty to disclose, and how the organization handles conflicts. |
| Nonprofit Governance 101 | Quiz, 3 questions | Everyone | The board's role, governance compared with management, and accountability. |
| Volunteer Safety Basics | Quiz, 2 questions | Volunteers | Safety expectations, reporting concerns, and following site rules. |
| Confidentiality and Data Privacy | Acknowledge | Everyone | Protecting the personal information of donors, clients, volunteers and staff. |
| Code of Conduct Acknowledgment | Acknowledge | Everyone | Reviewing and acknowledging the organization's code of conduct. |
Each starter is added as Optional and One time, with no video and no written lesson, and its passing score set to every question. Before you require it, click Edit, add the lesson content, and set Required and Renews the way you want. The Board Member Orientation, for example, is a one-click acknowledgment, so the orientation material itself is what you add as the lesson.
5. Managing Your Modules
The Your modules card lists every module with tags for its audience, its check (Acknowledge, or Quiz with the number of questions and the passing score), its lesson type (Embedded video, Uploaded video or Written lesson), and Required, Annual and Event prerequisite where they apply. Below the tags is how many people have completed it. Each module has three buttons:
- Edit loads the module into the form at the top of the page. Change what you need and click Update module.
- Completions opens a list under the module of each person who has completed it and when, with their quiz score where there is one. A person who tried but has not passed is shown as an attempt. Click the button again to close the list.
- Delete removes the module after you confirm. The completion records people earned stay.
When you open a quiz module with Edit, its questions and answer options load back into the form, but the round button marking the correct answer starts on the first option for every question. Before you click Update module, select the correct answer for each question again.
A module that is a lesson in a course cannot be deleted until you take it out of the course, so a course is never left pointing at a lesson that no longer opens.
↑ Back to top6. Courses
A course is an ordered sequence of lessons, and every lesson is one of your modules. A module you already built is reused rather than rewritten, so correcting it once corrects every course that teaches it. Click Courses in the left-hand menu to see Your courses, each with its status, audience, number of lessons, cohort, learners, how many finished, and a Finishes when line. Click Open to see the course or Edit to change it.
Build a course
Click + New course. The Create a course form opens:
- Title and Description (optional).
- Who it is for: Everyone, Board members or Volunteers.
- Status: Draft (learners do not see it yet), Active or Archived.
- Run it as this cohort (optional): pick a cohort from Groups, or leave it on Self-paced, no cohort. Attaching a cohort enrolls its roster and lets a lesson open with a given session. A self-paced course is one where you enroll people yourself from the course page.
Add lessons
Under Lessons, pick a module from the list and click Add as a lesson. Use Up and Down to reorder and Remove to take a lesson out. For each lesson, choose when it opens:
- Open right away
- Opens with a session, then type the session number
- Opens on a date, then pick the date
- Opens some days after enrolling, then type the number of days
Tick Required for lessons nobody may skip, and Needs the lesson before it to keep learners in order. No modules yet? The list reads Build a module first, on the Modules tab. Starting from nothing, you can also type the title and click AI: draft an outline from the title; see AI in Training.
Completion rule
The Completion rule says what a learner must do before the course counts as finished and the certificate is issued. Combine any of these:
- Every lesson marked required is complete (ticked by default)
- At least this many lessons
- Sessions attended (for a course run as a cohort)
- Assignments accepted
A line under the rule spells it out, for example "Finishes when: every required lesson, attendance at 3 sessions." If nothing is set, the line warns that no learner can finish and no certificate is issued.
Certificate
Leave Issue a certificate when the rule is met ticked, then fill in Signed by, Their title, and optionally a Line to print under the course name. The certificate carries your organization's name and contact details from My Organization, the course name, the learner, the dates and this signature block. It is filed to the Document Library the first time the learner downloads it.
Click Save course. The course page opens. Members do not see a course until its status is Active.
If course sales are turned on for your organization, the course form also shows Sell this course on a public page, with a Price in dollars (0 for free). Anyone can enroll from that page once the course is Active, paid enrollments go to your own Stripe account, and your discount codes work there. Where sales are not turned on, the box does not appear.
The course page
Opening a course shows its name, details and Finishes when line, with Edit, Delete and Close buttons, and six tabs:
- Progress: one row per learner and one column per lesson. A check mark is a passed completion of that lesson's module, wherever the learner took it. The row also shows lessons done, sessions attended (for a cohort) and Finished. A dot beside Yes means the certificate has been downloaded and filed to the Document Library.
- Lessons: each lesson with when it opens, whether it is required, and a warning if its module was removed or is not active.
- Assignments, Submissions and Gradebook: see the next section.
- Learners: type an email (and optionally a name) and click Enroll, or Remove someone. For a course run as a cohort, the roster is enrolled automatically and anyone who joins the group later is picked up.
Delete removes the course and everyone's place in it. The modules themselves, and the completions people earned, are not touched.
↑ Back to top7. Assignments, Submissions & Gradebook
A lesson can carry one assignment: work the learner sends in from their member page and you mark. Only an accepted assignment counts toward finishing the course.
Add an assignment
Open a course, click the Assignments tab, then + Add an assignment. Fill in:
- Lesson and Title, and What you are asking for in plain words.
- A written answer, A file, or both. A file is filed into your Document Library under the learner's name.
- Required, and May be sent again if returned.
- Due: No due date, A number of days after the lesson opens, or On a date.
- Rubric: one line per thing you mark, each with the score it is out of. Add lines with + Add a criterion and set a Pass mark (0 for none). Leave the rubric empty to accept or return work without a score.
Click Save assignment.
Mark what comes in
The Submissions tab says how many submissions are waiting for you and lists each one as Waiting for you, Accepted or Returned, with the attempt number and when it was sent. Click Read and mark to read the written answer or Download the file they sent, enter a score for each rubric line, write your Feedback, and click Accept it or Send it back. The learner is told either way.
The gradebook
The Gradebook tab shows one row per learner: lessons done, sessions attended, each assignment, points and Finished. A check is an accepted assignment, a curved arrow is one that was sent back, and a dot is waiting to be marked. Click Export CSV to download it as a spreadsheet.
↑ Back to top8. Groups: Cohorts & Masterminds
Click Groups in the left-hand menu. A cohort is instructor-led with a fixed curriculum, and everyone finishes together. A mastermind is peer-led with an open agenda: members bring their own challenges and hold each other accountable between meetings. Both get a roster, a session calendar with join links, attendance, and a discussion thread, and members see all of it on their member page.
Start a group
Click + New group and fill in the Create a group form:
- Type (Cohort or Mastermind), Name and Description (optional).
- Facilitator email and Facilitator name. The facilitator runs the sessions and records attendance. It can be any member of your organization or an outside person, who signs in to the member portal like anyone on the roster.
- First session date, Start time, Length (minutes), Meets (Weekly, Every two weeks, Monthly or Custom dates), Number of sessions and Time zone. For custom dates, type one date per line.
- Video link: use one link for every session, create Zoom meetings from your organization's connected Zoom account, or create Google Meet links from its connected Google account. Connect accounts under My Organization. With no account connected, paste a Join link, or leave it blank for in-person groups.
- Status: Draft (members do not see it yet), Open (on members' pages), Running, Finished or Archived. Who can see it: Roster only or Anyone in the organization.
- Roster: search and tick people from your contacts, staff, committees, and board and volunteer rosters, or type an address under Invite by email and click Add.
- Tick Email the roster that the group is open to tell everyone when the status is Open or Running.
Click Save group. Saving creates every session as an event on your calendar with its join link, and the message says how many people were emailed. If the email did not go out, the message says so plainly, and you can press Save again with the box ticked once the problem is fixed.
Inside a group
Click Open on a group to see four tabs:
- Sessions: every session with its date, length, join link and any recording. + Add a session, Edit or Remove single sessions; the session form takes a title, date and time, length, join link, recording link, status (Scheduled, Held or Canceled) and notes or agenda that members see.
- Attendance: a grid of members by session. Click a cell to change it; it steps through Attended, Absent, Excused, RSVP and blank. Two hours after a session ends, RSVPs become Attended and silence becomes Absent. For a past session, from RSVPs fills the column from RSVPs, and for a Zoom session Zoom report fills it from the Zoom participant report. The facilitator's own marks are never overwritten.
- Thread: post to the group. Members get a daily digest of new posts by email and can reply from their member page.
- Roster: who is in the group, the facilitator, anyone invited, and anyone who left. Change the roster with Edit.
Delete removes the group, its sessions and their calendar events, attendance and thread, and cannot be undone.
↑ Back to top9. Tracking Who Is Current
Click People in the left-hand menu, then Load training status (afterward it reads Refresh training status). The Who has completed training card lists each person assigned to training, pulled from your contacts, committees, and board and volunteer rosters, with a count such as "1 of 2 complete". Under each person, every module is marked Completed with the date, Required, outstanding, or Outstanding.
If nobody is listed, add people as contacts, committee members, or to your board and volunteer rosters. For one module at a time, use Completions on the Modules page; for a course, use its Progress tab.
Load the training status to see who still owes required training, so the chair can follow up in person.
10. Completion Notices
Click Settings in the left-hand menu. In the Notifications card, type the address that should get a notice when someone completes training and click Save. If you have a committee named Training, its members are notified automatically too.
↑ Back to top11. How Members Take Training
Members sign in to their member page at https://www.allinoneforprofit.com/member/ with their email, no password. There:
- Assigned training appears with required items flagged. They watch the video or read the written lesson, complete the check, and can download a Certificate of Completion.
- A My courses card shows a progress bar, a Continue button that opens the next lesson they can take, what is still locked and why, and their course certificate once they finish.
- A My groups card shows the next session with its join link, their attendance, the roster and the thread.
Their results flow straight back to the completion records, the People page and the course Progress tab.
↑ Back to top12. AI in Training
Training has two AI drafting buttons, and both only fill in a starting point for you to review:
- AI: draft questions from the title, on the module form, drafts four quiz questions from the module's title and description.
- AI: draft an outline from the title, on the course form, proposes a list of lessons from the course title and audience, and can turn each one into a module with a drafted quiz.
AI does not write your lesson content, record or choose videos, mark assignments, or decide who has completed training. Each button is explained in full, with what to check before you use the result, in the Training AI Automations Guide.
