Speaking Engagements handles its own reminders and bookkeeping. This guide covers what runs by itself, what the Ask Box can answer, and ready-to-use prompts for the writing that goes with every talk: the abstract, the bio, the pitch, the thank-you and the recap. You review and approve everything; nothing goes to a host that you did not send.
What runs by itself
| Automation | When it runs | What you control |
|---|---|---|
| New request email | The moment someone sends a request from your public page | The address in Send new requests to, and whether the page is on |
| Follow-up date | When you mark a talk delivered and it has no follow-up date | Change the date on the engagement any time |
| Calendar feed | Whenever a calendar app checks your private feed | Who you give the address to |
| Invoicing | When you click Invoice the fee or Invoice and send | Whether the invoice is sent now or waits as a draft |
| Bookkeeping | When an invoiced fee is paid | The income category in Settings |
Asking the Ask Box
The Ask Box on any page of the platform knows what Speaking Engagements does and where things are. Ask it in plain words:
- "How do I turn on my Request a speaker page?"
- "How do I put my talks in Google Calendar?"
- "How do I invoice a speaking fee?"
- "What does Donated back mean?"
It answers from this guide and the user guide and points you to the right screen. It does not read your engagements or your contacts.
Prompts for the writing
Copy a prompt into the platform's AI drafting tools or the AI assistant you already use, fill in the parts in brackets, and paste the result where it belongs. Read every draft before it goes out; check names, dates and numbers yourself.
A talk abstract
Paste the result into the topic's abstract on Topics & Speakers, so it appears on your Request a speaker page.
A speaker bio
Keep the 100-word version in the speaker's bio, and send the short ones to hosts who ask.
A pitch email to a conference
Add the conference as a new engagement at the Inquiry stage before you send, and mark it Proposed when you do.
A thank-you and follow-up to a host
Send it on the follow-up date, then click Mark followed up and record the leads and results under After.
Turning a talk into a blog post or social posts
Check every fact against your notes before posting, and ask the host before tagging them.
A run of show for hosting a guest speaker
Paste the run of show into the engagement's notes, the AV list into AV needs, and share the rest with your team.
The same safe pattern
You decide what goes out. A request from your public page only creates an inquiry and an email to you; nothing is sent to the requester until you reply. An invoice only goes to a host when you click Invoice and send. AI drafts are only drafts: they are never sent or saved on an engagement without you, and you check every name, date and number first.
